Put essential contacts at the front

List the current veterinary practice, an appropriate emergency veterinary contact and the rescue or previous carer where relevant. Add the person who is authorised to make care decisions if you are unavailable. Check the details rather than copying an old number from a message thread. A trusted temporary carer should know where the folder is and how to reach you.

Keep identification information and the relevant provider details together. Follow the provider's process for updating ownership or contact records; putting a new address in your folder does not update an external database. Store sensitive personal information securely and share only what a carer needs.

Separate records from routine preferences

Keep existing veterinary documents and instructions clearly labelled, with their dates. Do not rewrite professional directions from memory. If information conflicts or appears incomplete, ask the issuing practice or organisation for clarification. The folder should preserve accurate information, not turn uncertain recollections into official instructions.

Create a separate everyday page for food, usual meal arrangements, toilet access and familiar cues. Include equipment the dog uses and practical handling preferences. For example, explain that the dog is comfortable approaching a harness laid flat but worries when someone reaches over their head. Observable details help another person reproduce a successful routine.

Make the folder easy to maintain

Choose one main version, whether paper or digital, and avoid leaving several contradictory copies around the house. Date changes and remove superseded routine notes while retaining records you need. A quick update after an appointment is easier than reconstructing several months later.

Include a small packing list for an overnight stay if useful, but keep it separate from urgent contacts. Test the folder by asking a trusted adult to find the meal information and veterinary number without your help. If they need to read many pages, simplify the front section. A usable handover folder is short enough to consult during an ordinary busy morning.
